Electronic Filing W-2s Exceptions
The W-2s Exception report is produced only if exceptions occur. The system displays the Exceptions (if any) report when generating the W-2s is completed. Exceptions include the following:
- Incorrect sign on employee amount (negative where positive is expected or vice versa)
- Blank submitter postal code
- Blank company address (street, city, state, postal code)
- Employee name cannot be interpreted. Must be entered in Configure/Employees window as Lastname| Firstname.
- Blank domestic employee address
- Federal EIN is not 9 characters in length. State and local EINs can be up to 12 characters.
- Or other problems with the information provided in your Payroll system that may compromise the integrity or acceptability of the electronic W-2s.
You can use information from the Exception report to correct data in your Payroll system. Then run the W-2s command again and press the Recreate button to produce a new electronic file.
Use Payroll/Electronic Filing/W-2s Exceptions to preview the report in Notepad. Use Notepad's File/Print to print the report on paper.
